Create 4 categories of priority level.


IMPORTANT AND URGENT tasks that are both critical and that are due shortly. These absolutely cannot be put off.


The next prioritisation category is IMPORTANT BUT NOT URGENT. These are tasks that are very important to do but which do not have as critical a deadline as the IMPORTANT AND URGENT tasks.


Moving down in the prioritisation level, you next have URGENT BUT NOT IMPORTANT tasks, which, if time management has ever been an issue, you will find yourself constantly filling your time with. Replying to email or Facebook messages are generally examples of this prioritisation category.


Surfing the web when you have absolutely no need to do so is in the category of NOT URGENT AND NOT IMPORTANT. For the sake of time management, you really want to avoid spending much of your time in this category!!!


Step 3 of the Quadrant Approach to Time Management: Completing Priorities


Once you have created your to do list and prioritising it, you need to ensure that you can finish your tasks, otherwise all your time management efforts will quickly become demoralising. You can pick the topmost important and urgent tasks to complete on each day, and only one or two of the other tasks that are not IMPORTANT AND URGENT. This time management approach means that you not only prioritise, but you manage to complete only the tasks that are important
